Build three document files and keep only one of them with the shipment
An interprovincial move needs three distinct files: a carry file for essential originals, a service file for moving contracts and shipment evidence, and an administration file for government, tax, employment and household updates. The carry file stays under an adult’s control. The service file can be shared selectively with the mover or authorized receiver. The administration file remains private. Separating them prevents a routine delivery question from exposing health, tax or identity records.
Create a document register with owner, purpose, issuer, original or copy status, secure location, expiry, action required and return date. Do not type passport, health-card, licence, bank or Social Insurance Number details into a general checklist. The register should point to the protected record. This gives the household control without creating a second high-risk identity database.
Carry passports, current government identification, health cards, status documents, prescriptions, critical legal authority, vehicle papers, insurance and the confirmations likely to be needed on arrival. Keep the signed moving agreement, inventory, valuation selection, high-value disclosure, condition photographs and payment record outside the truck as well. Use current official instructions for each destination province. The federal change-of-address hub explicitly points people to provincial or territorial authorities for health cards and driver licensing, while CRA, Elections Canada and IRCC have their own channels. This article is a records-control plan, not a universal list of documents accepted by every office. Verify the application-specific list before an appointment.

Document register
Give every record an owner, purpose and custody status
Start with one row per document, not one row per folder. Record the household member or asset, document name, issuer, physical location, encrypted-copy location, expiry, move task, authorized users and whether the original may leave household custody. Add a “missing” state so a required certificate can be ordered before departure.
Mark sensitivity as ordinary, confidential or restricted. A mover’s estimate is ordinary business information; a school accommodation plan is confidential; a passport, SIN confirmation or full tax return should receive restricted handling. The label controls where the file is stored, who can receive it and how it is transmitted.
Use version and date fields for contracts, inventories, benefit letters and employer approvals. When a mover issues an amended estimate, retain the superseded version but identify the signed controlling copy. When a government page changes, store the confirmation produced by the transaction rather than an old screenshot as proof of current requirements.
Assign one custodian and one backup adult. The backup should know how to reach the records if the primary organizer is hospitalized, delayed or travelling separately, but should not receive every password in an unsecured message. Test the recovery method before moving week and correct any account that depends on a single unavailable device.
Address map
Treat government changes as separate transactions with separate proof
Canada’s federal change-of-address hub lists programs and links to their official services; it does not submit one universal federal update. Build rows for CRA, voting registration, active immigration files, pensions, benefits and any other relevant program. A successful CRA change is not proof that Elections Canada or IRCC has the new address.
Add the former and destination provincial services. ServiceOntario provides Ontario change instructions, while Québec offers SQCA and its own program pages; other provinces and territories use different systems. Record the effective date, residential address, mailing address and confirmation separately because agencies do not necessarily use the same field definitions.
Canada Post Mail Forwarding is a useful bridge, not a master-record update. Save the order and service period, then treat every forwarded statement as evidence that the sender still needs correction. Ask issuers whether replacement cards or protected mail can be forwarded before choosing the delivery address.
Use a verification column after the expected processing time. Submitted, accepted, effective and document received are different states. If the confirmation contains a spelling or unit error, use the issuer’s correction process and retain the case number. Never edit a digital confirmation and present it as an agency record.
Provincial credentials
Prepare destination health, licence and vehicle evidence separately
Health cards, driver’s licences and vehicle permits are provincial or territorial. Review the destination authority’s current eligibility and document list for each household member and asset. A lease may support residence but may not be sufficient alone. Bring only the originals requested, plus name-linking documents where lawful and necessary.
Health Canada explains the general portability transition when moving provinces, while the former and destination plans make individual decisions. Keep the old health card, destination registration confirmation and coverage correspondence accessible until the plans advise otherwise. Prescription drug, ambulance and private benefits may require additional records.
Licence exchange and vehicle registration are different files. The driver file may need experience or class evidence; the vehicle file may need ownership, lease, lien, insurance or inspection documentation. A family with two drivers and two vehicles should have four task rows rather than one generic “licences changed” checkbox.
Ask the authority what happens to the old credential and document the instruction. Do not destroy, mail or surrender it based on a blog. After a replacement arrives, check name, address, class, expiry and restrictions before closing the row. Record how the superseded document was returned or securely destroyed.
Federal and electoral records
Protect tax, immigration and voter correspondence from the address gap
Update CRA through an authorized method and retain the confirmation or account evidence. The CRA personal-information page explains current channels, while the moving-expense page describes records needed if a qualifying deduction is later claimed. Keep tax notices, direct-deposit information and identity verification outside the mover’s service file.
IRCC says people with an active application must keep their mailing address, email and contact information current. Use the tool for the application type, then verify the account. Store the unique client identifier and application number in the restricted file, not on a carton label or shared family chat.
Elections Canada’s online service can check or update federal voter registration. Provincial, territorial and municipal election records are separate, so create additional rows where applicable. Do not assume tax-consent data or a driver’s-licence update will reach every register before the next election. Save the verification date without copying excess identity evidence into the move file.
Review passports, NEXUS, public-service pay, pensions and other federal relationships only when relevant. A passport does not require the same physical-address workflow as a driver’s licence. Follow the federal hub’s program-specific link rather than submitting an unnecessary copy of identity. Recheck any program that sends benefit or security mail on a fixed schedule.
Housing records
Document the old property, the new property and any gap between them
Keep the old lease or ownership evidence, termination or sale documents, inspection record, final utility readings, key return and deposit correspondence together. If the old home remains owned, rented or vacant, preserve the current insurance, management and service instructions instead of marking the property file closed.
For the destination, keep the signed lease, deed or possession statement, property-insurance binder, building rules, elevator booking, access contacts and utility openings. Share moving hours and loading directions with the carrier, but keep financial and identity pages private unless the building or insurer legitimately requires them.
Temporary accommodation needs its own record: occupants, address, dates, receipts, mail arrangement and reason for the gap. Do not silently substitute a hotel or relative’s address as permanent residence on an application. Ask each authority which address it needs and record the response. Note which documents can safely be delivered during that interval.
Photograph meter readings and property condition where permitted, with date and location. Store these separately from household-goods condition evidence so a landlord discussion does not expose the shipment inventory. The two records may share a timeline but serve different claims. Keep the final inspection and key-return acknowledgement with the property images.
Moving contract
Preserve the commercial agreement from quote through final invoice
Keep every written estimate, inventory used to prepare it, signed contract, amendment, payment instruction and cancellation term. Identify the legal company, agents or subcontractors, pickup information, delivery period, work requested and price basis. The federal Office of Consumer Affairs recommends written quotes and a complete view of the goods; Ontario likewise advises comparing written estimates.
Record verbal discussions in a dated note and ask the mover to confirm material promises in writing. Delivery timing, packing responsibility, access charges, storage, valuation and payment are too important to live only in a phone memory. Preserve the email or portal message beside the contract version it changes.
Verify changed banking or payment instructions through independent company contact details. Keep proof of deposits and final payment but redact payment-card information from copies shared with the crew. An invoice and receipt usually establish payment without exposing the full account. Record the verification call in the commercial file.
Give the authorized destination receiver access to the contract pages, inventory and contacts needed to accept delivery. Do not give that person the household’s tax returns, health records or unrelated account passwords. The service file should be operationally complete and privacy-minimized. Define the receiver’s spending and amendment authority before the crew arrives.
Inventory and condition
Create item-level evidence that survives multiple custody handoffs
Assign each item or carton a unique identifier, room, plain description and destination. Add serial numbers, model details or supportable value evidence for property where they matter. The mover’s inventory and the household’s planning inventory can be reconciled without being identical, but both should explain what entered custody.
Photograph pre-move condition in adequate light, including existing marks. Link the photographs to the item identifier rather than saving thousands of unnamed images. For electronics or mechanical property, record any lawful functional evidence without performing unsafe tests. Retain the original files and their creation sequence.
Document who packed each carton, the materials used, seal or label and any high-value declaration. Owner-packed and mover-packed goods can be treated differently under a contract or claim. Store the inventory and photographs in two secure locations outside the shipment. Export a readable copy before pickup so an app outage or locked account does not eliminate the delivery checklist. Protect sensitive descriptions such as jewellery or computer contents from unnecessary access. Give the receiver a redacted version when appropriate.

Valuation and claims
Match protection choices to evidence and deadlines
Keep the signed valuation or released-value election, declared shipment value, additional charge, high-value schedule and applicable contract terms. Do not describe valuation as insurance without confirming the product. Ask the household insurer separately about transit and storage and retain the written response. Match every choice to the final signed contract.
At delivery, compare item and carton counts, note visible exceptions on the appropriate document and photograph condition before unpacking. Read every receipt or release before signing. Keep damaged packing until the mover or insurer authorizes disposal, and protect property from further damage where safe. Preserve photographs of labels, seals and carton damage.
Create a deadline table from the governing contract, applicable law and insurance policy. Oral notice or a note on the delivery sheet may not satisfy every claim requirement. Separate shipment loss, property damage, delay expenses and invoice disputes. Each can need different evidence and legal analysis. A single folder is acceptable, but the index should identify which amount and document supports which issue. Keep claim offers and releases attached to their affected items.
Travel records
Document the route without carrying the entire household archive
Keep travel tickets, accommodation reservations, vehicle details, roadside contacts, pet records, consent letters and accessibility arrangements available to the travellers. Store confirmation codes securely and provide each adult only the itinerary and authority they need. A printed route sheet should not include tax or banking data.
For driving, record the planned route, overnight stops, current road-information sources and a weather fallback. Track kilometres and move-related vehicle expenses if they may be needed for an employer or tax review. Do not rely on a later map estimate when the actual route changed.
If family members travel separately, create a custody list for identity folders, keys, medication and vehicle papers. Confirm who meets the mover and who can authorize delivery. The interprovincial travel plan can support children and pet needs without expanding the mover’s access to confidential records.
Temporary lodging receipts should identify dates, occupants and payment. Keep evidence of extensions caused by possession or delivery changes. That record may support budgeting, reimbursement or a claim, but do not label it recoverable until the responsible contract or program accepts it. Record taxes, parking and pet charges separately when the invoice combines them.
Receipts and tax evidence
Capture payer, purpose and proof while the context is fresh
Create a receipt ledger with vendor, date, amount, tax, payer, payment proof, purpose, category and file link. Scan or photograph thermal receipts promptly. A card statement proves a payment but may not explain the service, while an invoice without payment proof may not show that the household bore the cost.
The CRA’s current Line 21900 guidance describes conditions and expense categories for a qualifying move. Keep mover, storage, travel, temporary living, lease-cancellation and permitted incidental records as relevant, plus the facts needed to assess eligibility. Crossing a province alone does not guarantee a deduction. Use the current tax-year form and instructions.
Employer-funded moves require the policy, pre-approval, expense submission and reimbursement statement. Mark direct-paid, reimbursed and personal portions to prevent duplication. If one spouse paid a household cost, record the actual payer rather than rewriting the receipt later. Keep any rejected claim and the employer’s reason.
Keep possible tax, employer, insurance and contractual recoveries in separate columns. The same hotel invoice can be relevant to more than one review, but the household cannot recover the same loss twice. Obtain qualified advice before making a claim or deduction whose treatment is unclear.

Privacy
Minimize sensitive data in cartons, chats and vendor systems
Service Canada advises people to protect the SIN, limit access, store related documents securely and provide the number only when legally required. A mover, landlord’s moving coordinator or hotel does not need a SIN to handle household goods. Offer appropriate alternative identification only through the legitimate organization’s process.
Remove old labels and shred abandoned drafts containing personal information before disposal. Do not put tax papers, prescription labels or bank statements loose in recycling. If documents must be destroyed, use a secure method and preserve anything still required for claims, tax, legal or program retention.
Use encrypted storage, multifactor authentication and a tested recovery method for digital copies. Avoid sending a shared link with indefinite public access. Set permissions by file: the destination receiver can see the moving inventory without seeing passports or medical records. Remove access after the operational task ends.
If sensitive mail or an identity document goes to the old address, contact the issuer through an official channel. Do not ask an unknown resident to photograph it. Review accounts for unauthorized activity and follow issuer or law-enforcement guidance where misuse is suspected. Record replacement or cancellation steps in the restricted log.
Post-delivery audit
Reconcile documents, corrections and retention after unpacking
Within 48 hours, secure the identity wallet, signed delivery papers, receipts and condition evidence. Compare the delivered inventory, note missing items and preserve claim material. Do not leave restricted documents in the vehicle or an open kitchen box while the home is busy with contractors and visitors.
During the first month, verify government, insurer, employer, school and financial updates. Submitted is not the same as accepted. Check names, unit numbers, effective dates, licence classes and coverage details on every new document, then use the issuer’s process to correct errors. Keep the correction case open until the replacement arrives.
At the ninety-day review, close temporary mail arrangements carefully, reconcile reimbursements and archive the service, administration and tax files. Keep the document register as an index. Follow each authority’s, insurer’s or adviser’s retention requirements rather than applying one arbitrary destruction date. Record the scheduled review or disposal year for retained categories.
A secure file is useful only if it supports the next action. Record future expiries, renewal dates and unresolved cases in the household calendar. If the physical shipment is not yet scoped, a long-distance moving quote should use the inventory and access record without receiving private government documents.
